This feature is available on non-legacy subscriptions.
Admins can now create a template for Authors to use as they create forms. This allows you to create templates for organization standards or commonly-used types of forms such as event registrations or the base of an application form.
Create a Template
Only Admins and Account Owners can create form templates.
To create a new template:
- Go to the Admin section of Forms & Workflow and select Form templates under the Form Configuration menu.
- Select Create template and select Create from scratch to build a template. You can select Use existing form to base your template off a form you created. You will need to select a Workspace (if available to your organization) and Form from the drop-down menus, and enter a Name and Summary.
- Enter a template Name and Summary description of the template, then select Create template.
- Use the Template Builder as you would the Form Builder, by dragging and dropping fields into place. You can add and configure all Basic, Advanced, and Layout fields to create your template.
- Switch to the Settings tab to access form settings such as the General settings, Response settings, and Display settings. You'll find that not all settings are included for the Template Builder; any missing settings will become available when you create a form using the template.
- Select the Save changes button.
- Select Back to Form templates to go back to the templates list or go to Forms in the main menu to create a new form.
The Template Builder does not currently provide Workflow templating, nor does it have access to the Responses, Analytics, or History tabs. These, along with relevant settings, become available on the form once you use a template.
Differences Between the Form and Template Builder
Not all functions are necessary to create a template, so there are some differences between the Form and Template Builder. The Build tab handles these functions differently in the Template Builder:
- A version number in the header and the Workflow, Responses, Analytics, and History tabs are unavailable.
- The Take a tour function is not included.
- The Save and Preview and Publish buttons are not included.
- The Field set and Subscriber capture fields are unavailable.
- The Data connection field setting is unavailable for the Text, Number, Dropdown, Radio button, Email, and Section fields.
- The Map provider and related field settings are unavailable on Location fields.
- The Ways to pay and related settings are unavailable on Payment fields.
Similarly, these settings are not included for the Template Builder:
- General settings > Scheduling
- General settings > Google Analytics 4 ID
- Response settings > Limit number of responses
- Print and embed > Copy a link to your form or embed it in your site
- Print and embed > Copy a link to the printable version of your form
- Form document > Custom documents
- Permissions
- Testing
- Integrations
Manage Form Templates
In the Form templates section, you can also:
- Search for a template using the search bar, or reorder the list by Name, Last updated, or Lifetime uses.
- Select a template Name to edit it. You can change the template Name or Summary, or select Open template builder to edit the fields or settings. Save changes when you're finished. Any edits made to a template do not affect existing forms that used the template as a base; once you use a template to create a form, that form is detached from the template so Authors can make their changes.
- See how many forms have used the template in the Lifetime uses column, and select the template Name, then See all to view the a searchable list of the forms using the template.
- Use the three dots menu to Edit or Delete the template. If you select Delete, you will need to confirm the deletion by typing DELETE into the field and selecting Delete template.
Use a Template as You Create a Form
All templates are available for use to Authors when creating forms. To use a template:
- Go to Forms and select Create form.
- Select Use template to go to the Form template library. Form templates that we created are available to you in the Forms & Workflow templates tab.
- Switch to the Your templates tab to view all templates created by your organization.
- Select Use template on your chosen form template.
- Enter a Name and select a workspace (if applicable), then select Create a form. You can select Change template to go back to Your templates.
- Build your draft form as you normally would, publishing it when you're ready.
