Admins can configure a high-level email snapshot of response statistics to be sent to the stakeholders of their choice. For more granular reports, Reporters can export response data to email it to stakeholders or use it to create extensive reports.
Snapshot reports can be emailed weekly or monthly and will arrive in the form of an email with an attached downloadable Excel file. The Excel file will have columns containing:
- Form: The name of the form
- Submitted responses: The number of completed and submitted responses
- Saved responses: The number of saved responses that have not yet been submitted
- Deleted responses: The number of responses deleted for the form during the selected schedule period
- Responses pending deletion: How many responses will be deleted in the upcoming selected schedule period – unavailable for legacy plans
- Ave minutes to complete: The average time taken to complete the form, given in minutes
- Complete rate: The percentage of users who open and complete the form
Set Up a Scheduled Snapshot
- Go to Admin and select Email snapshots.
- Select Set up snapshot to create a new one or select an existing one to edit it.
- Enter a Snapshot name. This is a good place to include information about the purpose, i.e., if it’s department-specific or for a particular group of stakeholders.
- Use the Send to these email addresses field to enter the recipients’ email addresses, separating each address using a comma.
- Add an Email subject to explain the purpose of the email.
- Choose to Schedule Monthly or Weekly. Selecting Weekly provides a drop-down menu for you to select which day you want to send the email; choosing Monthly ensures it will be sent on the first day of the following month, and every month thereafter.
- Choose which Forms to include, either All forms or Select forms. If selecting forms, check each form to include in the list that appears.
- Select Create or Save changes if editing.
You can delete a scheduled snapshot by selecting it in the list and selecting the bin icon > Yes, delete.
Your first email snapshot report will be sent on the first day of the next month, or the next occurrence of the nominated weekday, depending on your chosen schedule. You can also:
