The Responses tab includes details about all form responses, including any Saved responses. The first part of this tab will show the number of Saved responses, and you can select Manage responses and notifications to delete them or send reminders.
Deleting Saved Responses
Deleting saved responses is permanent, and you cannot delete them if they were saved or accessed in the last 24 hours.
When setting up saved responses, you would have chosen a period of time for which to keep the saved responses. If you chose to keep the saved responses Forever, then you can still manually delete them:
- Go to the form Responses and select Manage responses and notifications for Saved responses.
- Use the date picker to choose a date under Delete responses saved prior to. This will show how many saved responses have been saved prior to the chosen date and will be what you’re deleting.
- Select Delete responses and Delete responses again in the confirmation window.
Send Automatic Reminders About Saved Responses
You can set up automatic reminder emails to be sent a period of days after the response is saved.
To send automatic reminders, there must be an email address attached to the saved response. This can be entered by the respondent as they save the form or come from an Email field within the form. To use an Email field in the form please open the field settings using the gear icon and ensure that the Use this address when emailing users about submissions box is checked.
- Go to the form Responses and select Manage responses and notifications for Saved responses.
- Check Turn on this feature under Send auto reminders about saved responses.
- Enter the number of days in the field for Send reminder x days after response is saved.
- Select change to send the email from a different address than listed; this is changed in the Email identity settings.
- Use the fields to enter an Email subject and Email body.
- Select Save.
You cannot use piped answers for these fields, but the default email body will contain space at the start and end of the email for your content, a link to the saved response, and the date on which the saved response will be deleted.
If the form is scheduled to be deactivated before the response deletion date, then the email will list the deactivation date and time instead.
Send Manual Reminders About Saved Responses
You can also send an immediate mass-email to all users who have saved a response, and the automatic reminder will be skipped for anyone who receives it.
To send manual reminders, there must be an email address attached to the saved response. This can be entered by the respondent as they save the form or come from an Email field within the form. To use an Email field in the form please open the field settings using the gear icon and ensure that the Use this address when emailing users about submissions box is checked.
- Go to the form Responses and select Manage responses and notifications for Saved responses.
- Under Send a reminder about saved responses, it will list the address that the email will be sent from. Select change to edit this in the Email identity settings.
- Choose a date under Send only for responses saved prior to. Users who saved a response prior to your chosen date will receive a reminder, so you can exclude users who have recently done so.
- Enter the Email subject and Email body.
- Select Send email and the reminder will be sent immediately.
The Email body field provides space to enter content at the start and end of the email. It will also include a link users can follow to their saved form response.
