Authors can configure their forms to send notifications when a new response is submitted. You can enter up to five email addresses and write the email content. Answer piping is also available to include details from the form or response data.
If your organization uses workflows, you may have already set up notifications for your Reviewers, in which case you don’t need to add them here.
Admins can set Organization defaults for these notifications, so there may already be content here. Form authors then have the option to edit the content to make it more specific to the form.
To set up the notification:
- Go to your form Settings > Responses.
- Change the Email identity settings to customize the sender of form notifications.
- Expand the Get notified by email about responses option.
- Enter up to five email addresses in the Send to field. Multiple addresses should be separated by a comma.
- Enter an Email subject for the notification. You can pipe answers using this format: {{PipedAnswer}}.
- Enter the content in the Email body. You can use the Visual text editor or the HTML editor, but please note that some HTML may be incompatible with the Visual editor is you switch between the two. If you are using HTML, check out this template to get you started.
- Use the + Add attachments button to include the Default response PDF, Response files from the respondent, or any custom documents as attachments to the email notification.
- Select Save response settings.
- Save and Publish your form.
Emails have a size limit of 40 MB, which consists of the email plus any attached files. The size of the file can increase in the email conversion process. We recommend keeping files under 25 MB to increase the likelihood that they’ll be sent as attachments. If you anticipate receiving large files, use answer piping to insert your form’s file upload field in the email body and it will appear as a link to the file in your response notification. Otherwise, respondent files, response PDFs, and custom documents are available from the Responses tab.
