Often, you’ll need to have an online and offline version of the same form. Using OpenForms, you don’t have to create both a digital and physical version of the same form. Instead, you can build your form in OpenForms and then generate a printable version for the form.
Please note the following:
- File upload fields will be visible as a note requesting the respondent to attach all necessary files.
- Repeatable groups will be repeated as specified in the Set repeats for a printable form setting.
- Dropdown questions are displayed as radio buttons.
- Office use only groups, Video fields, and maps are not visible in the printable version, although the Location field will display as a text box.
- You cannot generate a printable form version if the form contains a calculation or payment field, or if there are piped answers in a field label or content field.
Customize the Header and Footer
If you want to add a header and footer to provide context to the printable form, you should add it before you publish the form. The header appears at the top of every page of your form and is a good place to include introductory content, like your organization name. The footer appears at the bottom of every page of your form and may contain contact information or brief submission instructions.
There is no character limit to the header or footer, but you should keep them brief as they look best when they’re one line of text. We recommend staying under 80 characters.
To configure your header or footer text:
- Go to your form Settings > Print and embed.
- Expand the Printable version header and footer menu and add the Header text or Footer text as required.
- Select Save print & embed.
Generate the Link
To generate the printable version:
- Publish the form if it is still in draft.
- Go to Settings > Print and embed.
- Select Generate link under Copy a link to the printable version of your form.
- Select the link to download the printable PDF version of your form.
Once generated, the printable form link remains the same. If you add a calculation, payment field, or piped answer and try to save or publish the form, you’ll get a message warning you that this will remove the printable form link.
You can print and distribute the form as needed or copy the form link to paste on your website.
